Privacy Notice
How we handle your information when you request and attend a session.
What we collect
Your name, email address, your stated reason for the session, your age confirmation (and, for minors, guardian-consent information). Payment is processed by Stripe โ VMC never sees or stores your card details.
Why we collect it
To review and confirm your request, deliver and schedule your sessions, issue your invoice/receipt, and keep records of bookings and agreements.
Who can see it
The pilot musician and authorized VMC staff involved in scheduling and safeguarding; our service providers Cal.com (scheduling) and Stripe (payments), each under their own privacy terms.
How long we keep it
We keep data only as long as we need it.
- Financial and booking records (invoices, receipts, the fact and dates of a booking) are retained for about 7 years, as accounting and tax rules generally require.
- Intake free-text (your stated reason for the session and any notes) and minors' details and guardian-consent records are deleted 18 months after your last session, unless we're legally required to keep them longer.
Your choices
To ask what we hold, correct it, or request deletion, email contact@thevegamusicalconservatory.org. We'll honor deletion requests within the limits above (we may need to retain the minimum financial records the law requires).
Security
Access is limited to authorized staff; accounts are protected with two-factor authentication; payment data stays within Stripe's PCI-compliant systems.
